Newport’s family-friendly music festival Tredegar Park, Cardiff Road, Newport, NP20 3AJ

Portstock will be a celebration of live Music for Newport and the surrounding area whilst being a fundraising income stream for St David’s Hospice Care. We aim to raise awareness of the many services that St David’s provides locally, whilst giving supporters a great family day out.


The hope is not only to make this an annual event but an event that is eco-friendly, supportive of local trade and a value for money family day out. We plan to involve the local business community as sponsors along with many partners who wish to get involved supplying their services and supporting the cause.

Newport has always lacked a sizeable music event to allow mainstream and local artists to perform. We wish to provide this with the Portstock Music Festival whilst raising much needed funds for St David’s Hospice Care.

By supporting Portstock you are supporting the work of St David’s Hospice Care, which means you are making a positive difference to patients and their families all throughout Newport, Caerphilly, Monmouthshire, Torfaen and South and Mid Powys. The funds raised will provide comprehensive palliative care to people facing life limiting illnesses and provide care and support to their families at a very difficult time. St David’s Hospice Care, with your help, aims to ensure that patients have the choice to receive care at home, surrounded by friends and family.


Main stage - running order

Our main stage will be running throughout the day with a wide variety of music from local bands, world music and a well-known headline act. There will be something for every taste. Acts will be announced on the Portstock Facebook page and timings confirmed closer to the date of the event.


Into the Ark started their story in their hometown of Blackwood. They came together with a mutual love for gigging and song writing, and their instant friendship enabled the boys to start working together. They started their music career busking on the streets of Cardiff and, following this success, Into the Ark was formed. It’s a busy year for Into the Ark as they are about to jet off on a 21-date tour of America with the legend that is Sir Tom Jones! We are honoured to have these lads headlining the very first Portstock Music Festival.

Let’s go Green

Being kind to the environment is very important to us, can you help us achieve our “Go Green” status for Portstock? Here are some ways in which you can help us be eco-friendly:

  • Rubbish – There will be plenty of recycling bins around the festival site. Please try to put the correct materials in the bins provided.
  • Nappies – Nappy bins will be provided within the disabled toilets where changing facilities are available.
  • Food waste – Please ensure that food waste is deposited in the correct bins, there will be plenty of places around the site to dispose of any leftovers.

Food & Drink

All of our food and drink traders are required to adhere to health and safety, food hygiene standards and our vision of creating a “green” festival.

Please do not bring your own food or drinks on site. Bag searches will be in place upon arrival to the festival site and any items found will be removed. We have a wide variety of food and snacks available and encourage our guests to “shop local” and enjoy what the festival has to offer. As well as many food stalls there will be plenty of fully stocked bars packed with everyone’s favourite beverages. Bottled water will be available at various points throughout the site, this is available to purchase for a small donation to St David’s Hospice Care.

A strict alcohol policy is in place, any alcohol being brought into the festival search will be confiscated. Challenge 25 will be active at all bars, please don’t be offended if you are asked for ID, you’re lucky to look so young (full UK driving license and passport will be accepted as forms of identification).

Travel & Parking

There is no parking available at Tredegar Park on the day of the festival.

Visitors to Tredegar Park are encouraged to use the park and ride facilities as the parking area will be closed to members of the public on 18th August.

There is a shuttle bus from Queensway Newport (opposite Newport Train Station, NP20 4NP) running from 11.00am-22.30pm.

Park and ride is now located at Maesglas Industrial Estate, Newport NP20 2NN. (Screwfix, Howdens etc). (NOT John Frost School). Sorry for any inconvenience caused.

Disability Access

Disabled parking spaces are limited but available on site, spaces will need to be pre booked. On arrival you will be asked to present your blue badge and keep it visible throughout the day.

The festival site is flat but mostly on grass, tracking will be in some areas making access easier for wheel chair users. There will be a number of toilets specifically for disability access.

First Aid

Paramedics and first aiders will be present at designated spots around the site. In case of an emergency an ambulance will be on site and access points are in place to allow emergency vehicles through.


Our guest’s safety is very important to us. Fully trained security staff will be on hand throughout the site as well as volunteer marshals who will be able to point you in the right direction and answer any questions. Security staff will also be present at park and ride sites and the collection point for the Newport City shuttle bus service.

Bag searches will be in place upon entry to the festival. We are strictly against any drug use at Portstock and anyone found with drugs will be asked to leave the festival.


Can I bring my dog?
Sadly not, dogs and pets are not allowed, however guide dogs are welcome.

Can I bring a picnic?
No – but food is widely available throughout the site.

Can I bring my own alcohol?
No – but there are plenty of bars to choose from on site.

What if it rains?
Come prepared, this is Wales!

Can I bring a camping chair?
Yes – there will also be picnic blankets available for a small donation.

Will there be activities for children?
Yes – please keep up to date with our social media and website for further details and updates.

Where can I park?
We have park and ride available from two local sites, as well as shuttle bus from Newport City Centre.

Can I get a refund if unable to attend?
It is not possible to process refunds for this event, you can transfer your ticket to someone else by logging into Eventbrite. All money raised will go to support the work of St David’s Hospice Care.

What entertainment is available at the festival?
There will be a Main Stage and a Community Stage, with a wide variety of acts throughout the day. Please keep up to date on social media and the website for updates.

Stall Holders/Exhibitors


Please bring with you all necessary Documentation & Certificates for inspection on the day, if you’re not sure of which documents you need then please contact the Portstock fundraising team Tel: 01633 851051

Exhibitors/contractors footprint space

  • 3m x 3m standard gazebo, unless otherwise agreed.
  • Please consider any additional space required for trailers, storage vehicle, fridge/freezer, prep area etc.
  • Any Essential Vehicles/tents to be placed behind gazebo/unit, any “A” boards etc., to be placed in front of unit.
  • Total footprint, inclusive of all additional items no more than 5 x 10metres (W x L)
  • Gas bottles – Date of last Gas Safe installation inspection, copy to be attached
  • Storage of gas cylinders/bottles – We will have dedicated spare gas storage compound (Herras fence) within the event footprint, but away from public. All spare gas must be stored within this space).

Set up date and time exhibitors/contractors

  • Friday 17th Aug - Time: 9.00am – 5.00pm
  • Saturday 18th Aug (set up by 10am) - Time: 8.00am – 9.30pm (No vehicle movement on site between 10.00am – 11.00-pm)
  • Pack Down Saturday 18th Aug - Time: From 11.00pm approx
  • Pack Down Sunday 19th Aug - Time: 8.00am - 3.00pm approx

Vehicles & Parking - exhibitors/contractors

  • Please advise event organisers on how many vehicles will be coming on site
  • Vehicle registration details - Please advise prior to arriving on site
  • Onsite parking space is limited, any non-essential vehicles must be left at our “Park & Ride” site (John Frost School)
  • All on-site vehicles must have a parking permit displayed at all times - this will be issued by the event organisers prior to the event.
  • Weight of on-site Vehicles – Please consider the weight of your vehicle before coming on site, due to the nature of the fields/grounds you may be required to unload any stock onto smaller wagons or trolleys and deliver them to your pitch.
  • Please follow directions given by on duty marshals and security officers.
  • Site Rules - Vehicle curfew Saturday 18th Aug: No vehicle movement between 10.00am – 23.30pm.
  • Site Rules – No hazard warning lights whilst driving, use dipped beam headlights & amber beacon if possible.
  • Site Rules – Max.speed limit 5mph.

PLEASE NOTE – Utilities and power supply
*The festival does not provide hand wash facilities, refrigeration, gas supply. You can pre-book electricity supply, including cabling/connectors at an extra charge. If you intend to use your own cabling/connectors please ensure that they are in good working order, with any relevant inspection/certification documents up to date and to hand at the event.
* There will be access to cold water supply on site.

All payments are to be made at the time of booking, or at the latest 8 weeks prior to event (23rd June 2018), at the latest. Payments can be made over the phone or by sending a cheque along with your completed forms and documents to: “Portstock”, Fundraising, St David’s Hospice Care, Blackett Avenue, Newport. NP20 6NH. Unfortunately we are unable to refund any payments or deposits. (We will consider refunds or transfers: if the event is cancelled due to adverse weather conditions or circumstances beyond our control)

Third party
No person other than the contracted party may enforce any provision of the licence by virtue of the Contracts (Rights of Third Parties) Act 1999.

All Traders, exhibitors, contractors:

  • Ensure the customer understands exactly what they are applying for/buying.
  • Ensure the customer is given a copy of any relevant receipts/terms and conditions.
  • Be professional and courteous.
  • Keep the Space and surrounding area clear and tidy.
  • Exhibitors must not - Hard sell or be aggressive towards prospective customers.

Site rules for exhibitors/contractors
1. Health and Safety
– It is the responsibility of the Exhibitor and Contractor to ensure that all works are carried out in accordance with the Health & Safety at Work Act 1974 & CBRE H&S policy. All Exhibitors, contractors, volunteers and staff will receive an onsite mandatory H & S induction by the Site management Team and made aware of all the centre site rules and policies prior to starting work.

2. Work Area / Location – Prior to arrival or upon arrival, you will be given a ‘site location number’, this can be seen on the site location map. Promoters must ensure their work area is not exceeded by more than a 5 meter perimeter from their designated ‘pitch mark’, (i.e. number). Pitch marks are located on the site fields and are identified by a blue circle with a number within.

3. Glass – No glass to be brought onto site, or served to public. Any glass liable to be confiscated and/or damage deposit forfeited.

4. Alcohol – A strict alcohol policy is in place, any alcohol being brought into the festival (other than licensed bars) will be confiscated. “Challenge 25” will be active at all bars, please don’t be offended if you are asked for ID, you’re lucky to look so young! (full UK driving license and passport will be accepted as forms of ID).

5. Exhibitors/Contractors professionalism – We will expect you to be courteous and polite to all members of the public whilst on site. Staff should be of smart appearance and have appropriate identification. It is important that selling techniques are not of a ‘hard sell’ nature as this will not be tolerated by the Site Management Team. Failure to comply will result in the event / promotion being stopped and possible prohibition from site.

6. Security - Security of the work area is the responsibility of the promoter’s nominated responsible person. The Portstock Security Team will assist in an emergency.

7. Site security - 24 Hour site security will be provided from set up to pack down, however all exhibitors must do everything within their power to ensure their site/area is adequately safe and secure at all times. Marshals will also be on site during the day of the event.

8. Vehicles – Exhibitors & Contractors must confirm details of their “on site” vehicles at the time of booking. Vehicle Passes will be issued prior to the event.

9. Parking – Exhibitors may park essential vehicles on site, either next to their stand, or the allocated parking area, providing they have parking permit. (Non-essential vehicles to be parked at our “Park & Ride” locations)

10. Vehicle Curfew - Saturday 18th Aug: No vehicle movement between 10.00am – 23.30pm.

11. No hazard warning lights whilst driving, use dipped beam headlights & amber beacon if possible.

12. Max.speed limit - 5mph.

13. Hi Viz must be supplied and worn during site build, by all persons on site including all exhibitors/traders/contractors/volunteers and event organisers, whilst setting up or packing down.

14. WC/Convenience: Porto Loos will be available throughout the site.

15. Refuse – Exhibitors/Contractors to arrange their own disposal of waste or use the appropriate waste units provided by the event organisers. Under no circumstances is rubbish to be left in public areas or discarded.

16. Fire alarm activation - All exhibitors will be briefed on evacuation procedures prior to the start of the event. On hearing the evacuation signal vacate the area and make your way to the designated assembly point.

17. First Aid - On site first aid centres will be available during the event, please report any accidents or incidents to the Event Control Team or nearest Marshall . The nearest hospital is the Royal Gwent on Cardiff Road Newport.

18. Accidents/Emergencies - All accidents and emergencies must be reported to the Event Control Team.

The Portstock Festival has no liability for the loss or damage of vehicles, goods or other materials belonging to guests, Exhibitors and crew attending the Festival. The organisers reserve the right to implement any restrictions/conditions deemed necessary before and during the event to ensure the safe management of the Festival site. In order to prevent fraud and to protect both parties, you may be asked to provide additional information after your booking so that we can verify your purchase. The Festival does not accept liability for any misrepresentations, negligence, contractual or tortuous loss of any kind suffered by you from the products, or services, or actions of any venue or area, performer, exhibitor, promoter or others. We will not be liable to you for any loss of enjoyment or profit nor any indirect, consequential, exemplary, incidental, special or punitive damages. These Terms represent the entire understanding and agreement between you and us and shall have priority over any and all prior statements, understandings or agreements whether oral or in writing. These Terms are governed by the laws of England and Wales and any disputes are subject to the exclusive jurisdiction of the English and Welsh Courts and, by using this Site, you hereby submit to the jurisdiction of such courts for such purposes and waive any and all objections to jurisdiction or venue in such courts.
